Club President:
It's time again to vote for the leaders
who will lead District 14 (Georgia Toastmasters) for the
next year. If you've never participated in this process
before, it can be a little confusing because there are two
different procedures for the 3 opportunities you have to
vote.
1. District 14 Spring Conference
(May 5th, Atlanta, GA): This is where we elect
Georgia Toastmasters' leaders for the coming year. To vote
at this conference YOU (or someone else from your club)
must be present at the conference. If you or your Vice President
of Education (VPE) will be present at the conference, all
you have to do is to go by the Credentials Desk (open Saturday
before the District Council business meeting), sign a form,
and pick up the votes for your club. The Club President
and the VPE both are eligible to vote. If either cannot
attend the District Council meeting, the other is automatically
qualified to vote for both. If neither of you will be present
but someone else from your club will, you may sign a proxy
that gives voting authority to that club member to vote
for one or both of you. The proxy form was in the mailing
that you should have received from the Credentials Committee.
If you did not receive it, it is an electronic attachment
with this email and also can be downloaded from the District
14 website.
2. Toastmasters Region VIII
Conference (June 16, Greenville, SC): At this conference,
we elect the Region VIII International Director candidates
that will run for office at the International Convention.
The club president of record should have already received
a Club Proxy for this election from Toastmasters International.
This form should be signed by the club president and a)
Brought to the Spring Conference and turned in at the Credentials
desk; b) Given to your Area Governor to bring to the District
14 Spring conference; or c) Mailed to me (see next paragraph).
You DO NOT have to go to the Region VIII conference to have
your club represented. Our District Governor will vote for
your club IF you mail in your proxy form. Only the official
form from Toastmasters International will be accepted.
Due to a computer glitch, the name
and address on the back of the Region and International
Proxy forms is incorrect. Please do not inundate Sabrina
Matthews (one of our Area Governors) with these forms (her
mailing address is on the back side). Instead, mail them
to Mary Williams, P. O. Box 1002, Alpharetta, GA
30009-1002. I am collecting them for our District
Governor, Lee Holliday. Save yourself some money and mail
both the Region and International forms in the same envelope
– or better yet, bring them in person to the Spring
Conference on May 4-5.
3. Toastmasters International
Convention (August 18 in Phoenix, AZ). The form
the club president of record receives for the Regional Conference
also has the form for the International Convention attached
to it. This form should be signed by the club president
and a) Brought to the Spring Conference and turned in at
the Credentials desk; b) Given to your Area Governor to
bring to the District 14 Spring conference; or c) Mailed
to me (see the prior paragraph). You DO NOT have to go to
the International Convention to have your club represented.
Our District Governor will vote for your club IF you mail
in your proxy form. Only the official form from Toastmasters
International will be accepted.
District 14 Spring Conference
– more information: Each club has two votes.
The votes for the Spring Conference may be proxied to a
club member to vote if the Club President or Vice President
of Education is not present at the conference. At this conference,
an individual may carry no more than 3 votes, if they are
a district officer (District Governor, Lt. Gov. Education
and Training, Lt. Gov. Marketing, District 14 Secretary,
District 14 Treasurer, Division Governors, and Area Governors),
and 2 votes if they are not a district officer. District
officers receive a vote for their office and need to come
by the Credentials Desk to obtain their ballot.
Region VIII Conference and
International Convention: Each club receives two
votes, but only one proxy per club. That proxy is for both
votes. If you are attending either the conference or the
convention, you may keep your proxy and exchange it in at
the Credentials Desk for an official ballot. Only the official
form mailed to you by World Headquarters will be accepted.
If you are not attending, the District Governor will vote
those proxies that have been collected before the conference
and convention, respectively. Make sure your vote and the
voting strength of District 14 is counted by returning your
signed proxies as quickly as possible.
